Divisions of Procurement Department

1. Division of Studies and Technical Specifications:
This division is responsible for reviewing specifications submitted by colleges, academic deanships, centers, and administrative departments of the university related to requests for purchasing supplies, works, technical, and consultancy services. It prepares the necessary bid documents, monitors financial reservations, and ensures that all procedures are correct before issuing any bid. The division also announces the bids, follows up on the sale and receipt of bid copies, oversees the technical committees, and ensures that the required work is completed within the specified timeframes.

2. Division of Awards and Auditing:
This division ensures that the value of awarded bids matches the allocated budget and verifies the accuracy of technical specifications before signing award decisions. It also notifies companies of awards, handles objections, oversees the approval process, monitors the signing of contracts related to any award decision, and ensures that companies comply with the delivery of materials within the specified deadlines.

3. Division of Records, Guarantees, and Follow-up:
This division receives all bid documents after they have been completed by the Awards Division, prepares periodic reports, and registers and archives bid files. It also receives, stores, and approves samples, handles the receipt and registration of bid guarantees, and monitors them electronically.

4. Division of Miscellaneous Purchases:
This division is responsible for following up on and purchasing any supplies, works, or services whose value falls below the authority limits of the relevant procurement committees. Its work is conducted in accordance with the powers granted under the Government Procurement System No. (8) of 2022 and its amendments, as well as the instructions issued under it.

5. Diwan and Secretariat:
This division handles all incoming and outgoing correspondence, monitors printing and report preparation, with the total correspondence exceeding two thousand documents. The secretariat prints specifications for various bids, prepares advertisements for local newspapers, designs forms for data entry, prints reports for technical committees, prints award decisions and contracts, and handles all departmental correspondence. It also prints agendas for meetings and their minutes.
